Real estate lead management is the process of capturing every enquiry in one place, replying fast, sorting serious buyers from casual ones, following up until each lead books a site visit or says no, and measuring which sources bring bookings. Most builders and brokers don't lose leads because they have too few. They lose them in the gap between the enquiry and the first useful conversation.
This guide explains what a real estate lead is, the main types of leads, what a CRM does, how fast to reply, a simple stage system any team can run, and what to measure.
What is a real estate lead?
A lead is a person who has shared their contact details and shown interest in buying, selling or renting property: by filling a form, sending a WhatsApp message, calling, enquiring on a portal or walking into a site office. A lead is not yet a buyer. Lead management is everything that happens between "enquiry received" and "booking done" or "closed, not interested".
Types of real estate leads
Sort leads by where they came from, because each source behaves differently:
Source
What to expect
Meta lead forms (Facebook, Instagram)
High volume; many are early-stage or casual, so qualification matters most
Google search ads
Fewer, but people were actively searching for a project, builder or locality
Website or landing page form
The person has seen your page; usually warmer than an instant form
WhatsApp click-to-chat
Easy to start a conversation; reply quickly while they are on the phone
Property portals
Often sent to several sellers at once, so speed decides who gets the call (portals compared)
Channel partners
Pre-qualified by the broker; follow the registration rules in the CP agreement
Referrals and walk-ins
Usually the warmest; make sure they are entered in the system too
Then sort by readiness: hot (budget and timeline fit, wants a visit), warm (interested, not ready yet), cold (researching, or no reply), and closed (booked, or not a fit). Our guide on how to generate real estate leads covers the sources in more detail.
A buyer who enquires at 10 pm has usually enquired elsewhere too.
How fast should you reply to a lead?
As fast as you can, ideally within minutes. In a study published in Harvard Business Review (Oldroyd, McElheran and Elkington, March 2011), firms that contacted online leads within an hour were nearly seven times as likely to qualify the lead as firms that waited longer, and more than 60 times as likely as firms that waited 24 hours or more. The same research found many companies took far longer than an hour to respond. The study looked at US companies, not Indian property, but the pattern is easy to check in your own data.
A buyer who enquires at 10 pm has usually enquired on other projects too. The practical answer is an instant WhatsApp reply (brochure, price band, two questions, a visit slot) followed by a call from a person as soon as the office opens. See WhatsApp automation for real estate leads for how to set that up.
A simple lead stage system
Every lead should be in exactly one stage, with a next action and a date:
New: enquiry received, auto-reply sent.
Contacted: a person has spoken to them or had a WhatsApp conversation.
Qualified: budget, configuration, location and timeline confirmed as a fit.
Visit booked: date and time fixed, location pin sent.
Visit done: they came; notes on what they liked and objected to.
Negotiation or EOI: unit, price or EOI under discussion.
Booked or Closed – not interested (with the reason).
Four questions are usually enough to qualify: which configuration, what budget range, when they plan to buy, and whether it's for living or investment. Ask them in the first WhatsApp reply so the salesperson calls with context.
Follow-up rules that stop leads going cold
No lead without a next date. If the next action isn't in the system, it won't happen.
Each follow-up adds something new: a floor plan, a walkthrough video, the payment plan, a construction update. "Just following up" gets ignored.
Offer two visit times rather than asking "when would you like to come?".
Stop when they say no, and record the reason. "Budget too low" and "wrong location" tell you how to fix your ads.
Respect consent. Use WhatsApp templates approved by Meta for messages outside the 24-hour window, and only message people who enquired. India's Digital Personal Data Protection Act, 2023 requires personal data to be used for the purpose it was given for.
What is a CRM in real estate?
A CRM (customer relationship management system) is software that stores every lead with its source, stage, notes, calls, messages and next action, and reminds the team what to do today. For a small broker, a shared Google Sheet with the stage columns above can work to start. Once leads come from several sources or more than two or three people handle them, a CRM saves leads from falling through the gaps.
What to look for in real estate lead management software:
Leads arrive automatically from Meta lead forms, Google ads, your website, WhatsApp and portals, with the source recorded.
Instant WhatsApp or SMS acknowledgement, and assignment to a salesperson.
Stages, next-action dates and reminders.
Site visit scheduling and visit outcomes.
Reports by source: leads, qualified leads, visits and bookings.
The ability to send "qualified" and "visit done" back to Meta and Google, so the ads optimise for real buyers, not form fills.
Automating lead management
Automation handles the parts people do badly at 11 pm or on a busy Sunday: the first reply, the qualifying questions, the brochure, reminders and visit confirmations. People handle what automation does badly: understanding the buyer, answering hard questions and negotiating. A typical setup is ad → landing page or lead form → CRM → instant WhatsApp reply → salesperson alert → follow-up reminders. Our guide to AI for real estate covers where AI fits and where it doesn't.
What to measure every week
Time to first reply, by source and by salesperson.
Leads with no contact after 24 hours, which should be zero.
Lead to qualified, qualified to visit and visit to booking rates, by source.
Cost per site visit and cost per booking for each ad campaign.

What should real estate lead management software do?
Pull leads in automatically from ads, website, WhatsApp and portals, send an instant acknowledgement, assign leads, track stages and next actions, schedule site visits, report by source, and send qualified leads and visits back to Meta and Google.
How do you qualify a property buyer?
Ask four questions early, ideally in the first WhatsApp reply: which configuration, what budget range, when they plan to buy, and whether it's for living or investment.
What should a real estate sales team measure?
Time to first reply, leads with no contact after 24 hours, conversion from lead to qualified to visit to booking by source, cost per site visit and per booking, and the reasons leads were closed.
