Real estate email marketing works best as a follow-up channel: short, useful emails to people who already enquired or bought, such as construction updates, new launches, price-list changes and site-visit invitations, sent from a properly set-up domain to a clean, consented list. In India, WhatsApp gets the first reply, but email carries the detail that buyers save and forward: brochures, payment plans, documents and long updates. Used together, they keep a long buying decision warm.

This guide covers when email fits, the emails every builder and broker should send, how to write them, the technical setup that keeps you out of spam, and the consent rules to follow.

When email fits in real estate

Property decisions take weeks or months, so most leads won't book on the first call. Email helps you stay in touch without calling every week:

  • Nurturing open leads who enquired but haven't visited or decided.
  • Updating existing buyers on construction, payments and possession, which reduces calls to your sales team.
  • Reaching past buyers and investors when you launch a new project. See our referral program guide.
  • Working with channel partners: inventory updates, price lists and offers. See channel partners in real estate.
  • NRI buyers, who often prefer email for documents. See our NRI marketing guide.

Emails every real estate business should send

  1. Enquiry follow-up: sent right after the enquiry, with the brochure, floor plans, location pin and a link to book a site visit. Keep the WhatsApp reply short and put the detail here.
  2. Site-visit confirmation and reminder: date, time, map link, who will meet them, and what documents to bring if they plan to book.
  3. After-visit email: thank them, attach the price sheet and payment plan discussed, and answer the questions they asked on site.
  4. Monthly construction update: 3–5 real photos, what was completed, and what comes next.
  5. New launch or new inventory: sent first to past enquiries and buyers, before public ads.
  6. Payment and possession updates for existing buyers: due dates, bank loan help, handover process.

Each email should have one main action: book a visit, reply with a question, or download a document.

Most people read emails on their phones, so keep them short.

How to write real estate emails that get read

  • Subject line: specific and plain, such as "Tower B slab work done: October photos" or "Your site visit on Saturday at 11 am". Avoid all caps, "URGENT" and "limited offer".
  • First line: say why you're writing, in one sentence.
  • Short body: a few short paragraphs or a list. Most people read on phones.
  • Real photos and facts instead of adjectives, and the RERA number on any email that advertises a registered project. See RERA advertisement rules.
  • A named sender and a reply address someone actually reads, plus WhatsApp and phone in the signature.
  • Plain text or light HTML: heavy designs with one big image often end up in the Promotions tab or spam.

Technical setup: stay out of spam

Since 2024, Gmail and Yahoo require bulk senders to authenticate their email and make unsubscribing easy. Google's email sender guidelines set out the rules. In practice:

  • Send from your own domain (for example sales@yourproject.com), not a free Gmail or Yahoo address.
  • Set up SPF, DKIM and DMARC on the domain. Your email provider shows the DNS records to add.
  • Add a clear unsubscribe link to every marketing email, and one-click unsubscribe if you send to large lists.
  • Keep spam complaints very low. Google asks bulk senders to stay below a 0.3% spam rate.
  • Use a proper email platform for lists of more than a few hundred people, so sending, bounces and unsubscribes are handled for you.
  • Remove bounced addresses after each send, and stop emailing people who haven't opened anything in many months.

Only email people who gave you their address and expect to hear from you: enquirers, buyers, partners and people who subscribed. Never buy email lists; they damage your sender reputation and may break data protection law. India's Digital Personal Data Protection Act, 2023 requires consent for using personal data, with the detailed rules being phased in from November 2025. Record where and when each person shared their details, honour unsubscribe and deletion requests quickly, and ask your lawyer for the exact obligations that apply to you.

Automate the routine emails

You don't need to write each email by hand. Connect your website form, landing page or CRM to an email tool so that:

  • Every new enquiry gets the follow-up email within minutes, alongside the WhatsApp reply.
  • Site-visit bookings trigger a confirmation and a reminder the day before.
  • Leads who haven't visited get a short sequence over two to three weeks, then a monthly update.
  • Any reply stops the automatic emails and alerts a salesperson.

Our guides on real estate lead management and WhatsApp automation show how email and WhatsApp work together, and our WhatsApp message templates pair well with the emails above.

What to measure

Open rates are less reliable than they used to be, because some email apps load images automatically. Focus on clicks, replies, site visits booked from email, bounces and unsubscribes. If a type of email gets no clicks or replies after a few sends, change the subject and content or stop sending it.

FAQ

Frequently asked questions

Quick answers from this guide.

Does email marketing work for real estate in India?

Yes, as a follow-up channel. WhatsApp gets the first reply, but email carries the detail buyers save and forward, such as brochures, payment plans and construction updates, which keeps long buying decisions warm.

What emails should a real estate business send?

An enquiry follow-up with the brochure, site-visit confirmations and reminders, an after-visit email with the price sheet, monthly construction updates, new launch emails to past buyers, and payment and possession updates.

How do I stop my real estate emails going to spam?

Send from your own domain, set up SPF, DKIM and DMARC, add a clear unsubscribe link, keep spam complaints below 0.3%, use a proper email platform and remove bounced addresses after each send.

Can I buy an email list of property buyers?

No. Bought lists damage your sender reputation and may break data protection law. Only email people who gave you their address and expect to hear from you.

What does India's DPDP Act mean for email marketing?

The Digital Personal Data Protection Act, 2023 requires consent for using personal data, with detailed rules phased in from November 2025. Record where and when people shared their details and honour unsubscribe and deletion requests. Check exact obligations with your lawyer.

What makes a good real estate email subject line?

Specific and plain, such as 'Tower B slab work done: October photos' or 'Your site visit on Saturday at 11 am'. Avoid all caps, 'URGENT' and pushy offers.

Should real estate emails show the RERA number?

Yes. Any email that advertises a registered project should show its RERA registration number, as with other real estate ads.

What should I measure in real estate email marketing?

Clicks, replies, site visits booked from email, bounces and unsubscribes. Open rates are less reliable because some email apps load images automatically.
