A good real estate WhatsApp message is short, personal, and asks for one thing. It uses the buyer's name and the project they asked about, it answers in minutes rather than hours, and it ends with a single next step: a call, a site visit or a reply. This guide gives you ready-to-copy templates for every stage, from the first reply to an enquiry to the message after booking, plus the rules that keep your number safe.

Copy the templates into your WhatsApp Business app as quick replies, or into your WhatsApp automation tool, and replace everything in {{curly brackets}} before you send.

Rules before you send a single message

WhatsApp is the fastest way to reach Indian home buyers, and also the easiest way to lose a number. Follow these rules for every template below:

  • Only message people who contacted you or gave permission. The WhatsApp Business Messaging Policy says you may message people only after they have given you their number and agreed to hear from you. Buying a list and sending cold messages gets you blocked and reported, and enough reports can restrict your account.
  • One message, one ask. Don't send a brochure, a price list, a location pin and three questions at once. Ask the most important question first.
  • Use their name and their project. "Hi Rahul, thanks for asking about 3 BHK flats at {{project}}" works better than "Dear Sir/Madam".
  • Put the RERA number on promotional messages. Section 11(2) of the RERA Act requires every advertisement or prospectus for a registered project to show its registration number and the RERA website address. Treat any WhatsApp broadcast that promotes a project as an advertisement. Our guide to RERA advertisement rules explains what else must match.
  • Stop when they say stop. If someone says "not interested" or "please don't message", reply once to thank them and remove them from your follow-ups.

First reply to a new enquiry

The first message decides whether the conversation starts. Send it as soon as the lead arrives: a buyer who filled a form on Facebook has probably filled two or three others too. Our lead management guide explains why speed matters so much.

From a Meta lead form or website form:

Hi {{name}}, this is {{your name}} from {{company}}. Thanks for your enquiry about {{project}} in {{location}}. Are you looking for a {{2 or 3}} BHK for yourself, or as an investment? I'll send the right floor plans and prices.

From a missed call or "call me" request:

Hi {{name}}, I just missed your call. This is {{your name}} from {{company}}. Is now a good time to talk for 5 minutes, or should I call you at a time that suits you?

From a property portal lead:

Hi {{name}}, you asked about {{project}} on {{portal}}. I'm the sales advisor for this project. What budget range are you looking at? I'll share units that fit, with the latest price sheet.

Notice that each one ends with a question that is easy to answer. A question gets a reply; a brochure dump usually gets silence.

Sharing brochure, prices and location

Send details only after you know what they want, and say why you are sending each thing. A clear digital brochure that opens well on a phone makes this step easier.

Brochure and floor plan:

Here is the brochure and the {{3 BHK}} floor plan for {{project}}. Page {{4}} shows the layout you asked about. RERA No. {{number}} ({{state RERA website}}). Would you like to see the sample flat this weekend?

Price and payment plan:

Price for the {{3 BHK, 1,450 sq ft}} unit: {{price}} plus {{charges}}. Payment plan: {{plan}}. These are current prices and can change, so please check before booking. Shall I block a time for a site visit so you can see the unit and the exact view?

Location:

Here is the site location: {{map link}}. From {{landmark}} it takes about {{time}} by road. Our site office is open {{days and times}}. Which day works for you?

Site visit booking, confirmation and reminders

Most of the money in real estate sales is made or lost between "I'll come" and the buyer actually arriving. Three short messages make the difference. Our guide on how to book real estate site visits covers the full process.

Confirmation (right after they agree):

Confirmed, {{name}}: site visit at {{project}} on {{day, date}} at {{time}}. I'll meet you at the site office. Location: {{map link}}. If anything changes, just reply here and we'll move it.

Reminder (the evening before):

Hi {{name}}, a reminder for tomorrow's visit at {{time}}. Will {{your family / your wife}} be joining too? I'll keep the {{3 BHK}} sample flat ready for you.

Morning of the visit:

Good morning {{name}}. See you at {{time}} today. Parking is at {{gate}}. My number is {{number}} if you need directions.

If they don't turn up:

Hi {{name}}, we missed you today, hope everything is fine. Would {{day}} or {{day}} work better for the visit?

Asking whether the family is coming is not small talk. In most home purchases the decision is made by more than one person, and a visit with the decision makers present is worth far more than a visit alone.

Follow-up messages when they go quiet

Most buyers don't say no; they just stop replying. Plan three follow-ups, spaced a few days apart, each adding something new instead of asking "any update?".

Follow-up 1 (a few days later): add value.

Hi {{name}}, one thing I forgot to mention: {{tower B}} has units facing the park on {{floors}}. If the view matters to you, these usually go first. Want me to check what's left?

Follow-up 2 (a few days after that): remove a worry.

Hi {{name}}, many buyers ask us about home loans for {{project}}. It is approved by {{banks, only if true}}. If you'd like, I can connect you with a loan officer to check your eligibility, no obligation.

Follow-up 3: close the loop politely.

Hi {{name}}, I don't want to keep messaging if the timing isn't right. Should I close your enquiry for now, or would you like me to send updates when new units or offers come up?

The last message often gets the most replies, because it is easy to answer either way. Whatever they say, log it in your CRM or sheet so nobody on your team messages them again by mistake.

After the visit, booking and possession

Thank you after the visit (same day):

Thank you for visiting {{project}} today, {{name}}. As discussed, here is the cost sheet for unit {{number}}. Any questions from {{family member}}? I'm happy to arrange a second visit or a video call with them.

After booking:

Congratulations on booking {{unit}} at {{project}}, {{name}}! Next steps: {{document list}}. Your relationship manager is {{name, number}}. We'll share construction updates here every {{month}}.

Document checklist:

For the agreement for sale, please keep ready: {{PAN, Aadhaar, photos, address proof, cheque or transfer details}}. Reply here if you have any questions about a document.

Asking for a referral (only after a good experience, like key handover):

Hi {{name}}, congratulations again on your new home. If a friend or relative is also looking, I'd be glad to help them the same way. You can share my number: {{number}}.

WhatsApp Business app vs API for these templates

You can use every template above in the free WhatsApp Business app. Save them as quick replies (type "/" in a chat to insert one), set a greeting message for first-time contacts and an away message for after hours, and use labels such as "New lead", "Visit booked" and "Booked" to track each buyer.

The WhatsApp Business Platform (API) is the version used by automation tools. It works differently:

  • When a buyer messages you, you can reply freely for 24 hours, the "customer service window" described in Meta's WhatsApp pricing documentation.
  • To message someone outside that window, such as a follow-up after three days, you must use a message template that Meta has approved.
  • Templates are grouped by Meta into categories such as marketing, utility (for example a site visit confirmation) and authentication, and each category is priced differently.

So with the API, write your follow-ups and reminders as templates, get them approved before you need them, and keep variables like {{1}} for the name and project. Our guide to the WhatsApp Business API for real estate explains setup and costs, and WhatsApp automation for real estate leads shows how an instant reply flow fits together.

Common WhatsApp mistakes that lose buyers

  • Replying the next day. By then the buyer has spoken to someone else.
  • Long paragraphs. Buyers read on phones, often while doing something else. Keep each message to a few lines.
  • Voice notes to new leads. Many people can't play audio at work. Use text first and ask before sending voice notes.
  • "Dear Sir/Madam" and copy-paste blasts. If it looks like a broadcast, it is treated like one.
  • Claims you can't prove. "Best project in Noida" or "guaranteed returns" can break RERA and consumer rules and destroys trust. State facts: size, price, location, possession date as filed with RERA.
  • No record. If replies live only on one salesperson's phone, leads are lost when that person is busy or leaves. Log every lead and reply in a shared system.

Pair these templates with a clear call script for when the buyer picks up the phone: our real estate sales scripts follow the same stages.

FAQ

Frequently asked questions

Quick answers from this guide.

What is a good first WhatsApp message to a real estate lead?

Introduce yourself and your company, thank them for asking about the specific project, and end with one easy question, such as whether they want a 2 or 3 BHK for themselves or as an investment. Send it as soon as the lead arrives.

Can I send WhatsApp messages to people who have not contacted me?

No. The WhatsApp Business Messaging Policy allows messages only to people who gave you their number and agreed to hear from you. Cold messages to bought lists get reported, and reports can restrict your account.

Do WhatsApp messages about a project need the RERA number?

Section 11(2) of the RERA Act requires every advertisement for a registered project to show its registration number and the RERA website address. Treat any WhatsApp broadcast that promotes a project as an advertisement and include both.

How many follow-up messages should I send on WhatsApp?

Plan three follow-ups spaced a few days apart, each adding something new: useful information, then an answer to a common worry, then a polite message asking whether to close the enquiry. Stop at once if the buyer says no.

What should a site visit reminder message say?

Send a confirmation right after the buyer agrees, a reminder the evening before that asks whether the family is joining, and a short message on the morning of the visit with the time, parking point and your number.

Can I use these templates in the free WhatsApp Business app?

Yes. Save them as quick replies (type / in a chat to insert one), set a greeting message and an away message, and use labels such as New lead, Visit booked and Booked to track each buyer.

What is the 24-hour window in the WhatsApp Business API?

When a buyer messages you, you can reply freely for 24 hours. To message them after that window, for example a follow-up three days later, you must use a message template approved by Meta.

What are the most common WhatsApp mistakes in real estate sales?

Replying the next day, sending long paragraphs or voice notes to new leads, copy-paste blasts that start with Dear Sir/Madam, claims you cannot prove such as guaranteed returns, and keeping replies only on one salesperson's phone.
