The right real estate CRM for an Indian builder or broker is the one your sales team will update every day: it pulls every enquiry from Meta, Google, portals and WhatsApp into one list, assigns it in seconds, reminds the caller to follow up, and tracks each lead from enquiry to site visit to booking. Features matter less than daily use.
This guide is for developers, brokers and channel partners choosing their first CRM or replacing one nobody uses. It covers what a real estate CRM does, the features that matter in India, the stages and fields to set up, how leads should flow in, a neutral checklist to compare vendors, and the consent rules to follow. We don't rank products: most "top 10 CRM" lists are written by CRM companies, and they put themselves first.
What is a real estate CRM?
A real estate CRM (customer relationship management system) is software that stores every buyer enquiry and every conversation with that buyer in one place, so nobody is forgotten when a salesperson is busy, on leave or leaves the company.
In practice it replaces three things most property teams run on today: the Excel sheet of leads, the WhatsApp chats on personal phones, and the memory of the best salesperson. A CRM answers simple questions that are surprisingly hard without one: Who called this buyer last? What did they say about budget? Did they visit the site? Which campaign brought them?
If you are new to the idea, read our guide to real estate lead management first. A CRM is the tool; lead management is the process the tool has to follow.
Do you need a CRM, or is a spreadsheet enough?
A shared spreadsheet is enough while one or two people handle a few enquiries a day. You need a CRM when leads arrive from more than one source, more than two people follow up, or you cannot say which campaign produced last month's bookings.

Which real estate CRM features matter in India?
Six features decide whether a CRM works for Indian property sales: automatic lead capture, WhatsApp, calling, follow-up tasks, site visit tracking and source reporting. Everything else is a bonus.
Automatic lead capture. Meta lead forms, Google Ads forms, your website form and portal enquiries should land in the CRM without anyone copying them. Meta, for example, lets lead ads send leads straight to a CRM through partner integrations or webhooks.
WhatsApp inside the CRM. Most property buyers in India expect the first reply on WhatsApp, not by email. The CRM should send the first reply and the brochure, and keep the chat history on the lead, not on a salesperson's phone. This usually needs the WhatsApp Business API, not the free app.
Click-to-call and call logging. Calls are still how most site visits get booked. The CRM should log each call, its outcome and ideally the recording.
Follow-up tasks with due dates. Every lead should always have a next action and a date. A lead with no next action is a lead you have lost.
Source and campaign reporting. Leads, site visits and bookings by source and campaign, so you can stop paying for channels that only produce enquiries.
Useful extras for builders: inventory and unit blocking, payment-milestone reminders, channel partner registration (so two CPs don't claim the same buyer) and a buyer app. Useful extras for brokers: listings matched to buyer requirements and portal posting.
What stages and fields should you set up?
Keep the pipeline short: seven stages from new enquiry to booking, plus a lost reason. Long pipelines with fifteen stages are never updated correctly.

New
Enquiry received, not yet contacted
WhatsApp reply and call within minutes
Contacted

Budget, timeline and purpose fit the project
Offer two site visit slots

Second visit or family meeting
Booked / Lost
Booking amount paid, or the lead is closed
Record the lost reason
The fields worth making compulsory: name, phone, source, campaign, budget band, configuration wanted (for example 2 BHK or a 200 sq yd plot), timeline, purpose (own use or investment), home loan needed, assigned salesperson, next action date and lost reason. Our list of lead qualification questions gives you the wording for each one.
How should leads flow into the CRM?
Every enquiry should reach the CRM automatically, get an instant WhatsApp reply and be assigned to a person, all within a minute. Speed matters: in a study published in Harvard Business Review (2011), firms that contacted online leads within an hour were nearly seven times as likely to qualify them as firms that waited longer. The study covered US companies, not Indian property, so check the pattern in your own data.
Buyer fills a Meta form, a Google form, your landing page form or sends a portal enquiry.
The lead lands in the CRM with its source and campaign.
The CRM sends an approved WhatsApp template with the brochure and one question.
The lead is assigned by round robin, project or language, and the salesperson gets an alert.
The salesperson calls, updates the stage and sets the next action date.
Reminders fire for every follow-up and site visit until the lead is booked or closed.
How to choose a real estate CRM: a neutral checklist
Ask every vendor the same questions and test with your own leads before you sign. A two-week trial with real enquiries tells you more than any demo.
Question to ask
Why it matters
Can it pull leads from Meta, Google, our website and the portals we use, without manual upload?
Manual copying is where leads get lost and delayed.
Is WhatsApp built in through the official Business API?
Unofficial tools can get your number blocked.
Does the mobile app work well on the phones our team uses?
Salespeople update the CRM from the site, not a desk.
Can we export all our data at any time, in a standard format?
Your leads are your asset; you should never be locked in.
What is the full cost over two years, including setup, users, WhatsApp messages and integrations?
The monthly per-user price is rarely the whole bill.
Who does onboarding, and in which language is training?
A CRM nobody is trained on is a CRM nobody uses.
Where is the data stored, and how do access rights work when someone leaves?
Buyer data is personal data under Indian law.
What do DPDP and WhatsApp rules mean for your CRM?
Store only buyers who gave you their details, record where and when they did, and stop messaging anyone who asks you to. India's Digital Personal Data Protection Act, 2023 requires a lawful basis, usually consent, for using personal data, and its rules are being phased in. WhatsApp separately requires businesses to get opt-in that names your business before messaging people.
Add a "consent source" field (form name, date) and fill it automatically.
Never import bought databases into the CRM.
Give each person access only to the leads they handle, and remove access the day someone leaves.
Keep a "do not contact" status that blocks WhatsApp, calls and email.
This is general information, checked in November 2026, not legal advice. Ask your lawyer about your exact obligations.
Common real estate CRM mistakes
Buying for features, not use. The best CRM is the one updated after every call.
No owner. One person must check every morning that each lead has a next action.
Too many stages and fields. Start with seven stages and add only what you report on.
WhatsApp outside the CRM. If chats live on personal phones, the history leaves with the phone.
Judging campaigns by lead count. Report cost per site visit and per booking, as our marketing budget guide explains.

Which is the best real estate CRM in India?
There is no single best one. The right CRM pulls leads in automatically from your sources, has official WhatsApp built in, works well on your team's phones and lets you export your data. Test two or three with your own leads for two weeks before deciding.
Do small brokers need a CRM?
Not always. A shared sheet works while one or two people handle a few enquiries a day from one source. Move to a CRM when leads come from several channels, three or more people follow up, or leads go cold because nobody called back.
What features should a real estate CRM have?
Automatic lead capture from Meta, Google, portals and your website; WhatsApp through the official API; click-to-call with call logging; follow-up tasks with due dates; site visit scheduling; and reports by source and campaign down to site visits and bookings.
What stages should a real estate sales pipeline have?
Keep it to about seven: New, Contacted, Qualified, Visit booked, Visited, Negotiation, and Booked or Lost with a reason. Every lead should always have a next action and a date.
Can Meta lead ads go straight into a CRM?
Yes. Meta lets lead ads send leads to a CRM through partner integrations, a custom integration or webhooks, so a new lead can reach your CRM within seconds instead of being downloaded by hand.
Is it legal to store buyer phone numbers in a CRM?
Yes, if the person shared them with you and you use them for what they expect. India's DPDP Act, 2023 requires a lawful basis such as consent. Record the source and date, never import bought lists, and honour opt-out requests. Ask your lawyer for specifics.
How long does it take to set up a real estate CRM?
A basic set-up with lead capture, stages, users and WhatsApp templates can be ready in days. Getting the team to update it after every call takes longer, so name one owner who checks every morning that each lead has a next action.
